The Parts Counter Clerk assists and works under the direction of the Parts Supervisor of Sea Mist Farms. This position is responsible for ordering, retrieving, or delivering parts to vendors, job sites, shop, or the main office. Additional responsibilities include maintaining inventory, use of the fleet maintenance management computer system and report writing. Reviews invoices, including vendor billing, enters data, and files invoices and parts requests. Work independently with minimal supervision. Parts counter personnel will have parts runners assigned to assist in daily work, including shop clean up. Required to guide and utilize the personnel in an effective, productive manner.
Essential Duties and Responsibilities
- Daily use communications equipment such as phones, faxes, e-mail, and radios to communicate effectively with vendors, technicians, supervisors, administration, and field personnel
- Understand, maintain, and use the purchasing and inventory modules of the computerized fleet maintenance management system. Understand and utilize all reports and queries related to inventory and purchasing. Use and follow all screens and reports needed to retrieve equipment specifications and parts histories
- Understand and follow Sea Mist Shop procedures for numbering parts
- Understand warehouse organization and the inventory system and maintain that system
- Have familiarity with both internal and external vendors including the knowledge of the appropriate parts and supplies to purchase at different vendors. Have familiarity with vendor and ranch locations
- Must have the ability to purchase parts economically by comparing vendor pricing and choosing the best freight options
- Complete timecards, parts requests, purchase orders, and freight delivery forms
- Ensure parts are delivered to the technicians by the timeliest and most cost effective means available. Establish and maintain an organized, clean work area
- Maintain communication with supervisor, parts delivery persons, shop managers, technicians, fellow employees, vendors and field personnel
- Other duties as assigned
Job Requirements and Qualifications
- Must be computer literate
- Must have working knowledge of standard windows programs
- Must be bi-lingual in English and Spanish, both verbal and written
- Have the willingness and ability to follow safety guidelines and work safely around and with other personnel. Have the willingness and ability to listen and follow directions accurately
- Have the willingness and ability to communicate and work with supervisor, warehouse personnel, vendors, shop supervisors and technicians, and office and field personnel
- Able to read and understand parts and service manuals. Must have a basic understanding of machinery, how it works and the names of parts and components. Able to fill out timecards and parts requests
- Have the willingness to travel to remote locations to work. Possess a valid California driver’s license and be insurable. Must maintain a good attendance record
