SENIOR EXECUTIVE ASSISTANT - CASTROVILLE, CA

The Senior Executive Assistant provides high-level administrative support to the President/CEO, Senior Leadership, Production and Harvesting Teams ensuring the smooth operation of our dynamic agricultural organization. The incumbent will be a crucial point of contact for the Senior Leadership team.

Essential Duties and Responsibilities

  • Provide accurate and detailed reports to support the decision-making process of our vertically integrated Farming, Harvesting, and Processing businesses units
  • Recommend volume flow adjustments to our planting schedules based on both past and present data, including Sales Volume and Production Yield data
  • Evaluate monthly operational KPl's vs Budget by individual business unit and recommends improvements and modifications when variances occur
  • Participate and assists in the completion of annual planting and harvesting schedules
  • Provide a broad variety of administrative support activities for the CEO/President as well as to Senior Leadership Team members. Includes the preparation of documents, presentations, and reports
  • Coordinate travel arrangements and itineraries for executives, guests, and other personnel as required
  • Support and contribute to the development of the annual production volume budget, suggesting key performance indicators (KPIs) based on past performance analysis
  • Coordinate meeting logistics for Senior Leadership Team members and document meeting minutes as needed
  • Approve payables, reconcile seed and nursery accounts, and perform data entry for general planting schedules. Monitor computer-based automatic order, input, and Advanced Ship Notice Systems (EDI activities) as needed
  • Assist in the development of internal and external community strategies, programs, and information delivery methods
  • Coordinate and update all Sales contracts and measures SKU profitability against current COGS
  • Collect, prepare, and distribute the weekly harvest volume production sheets
  • Compile, process and distribute the monthly crop yield reports
  • Organize meetings, events, and conferences as needed
  • Provide direct assistance to the CEO in the scheduling of meetings and report composition as needed
  • Handle sensitive information with discretion and maintain confidentiality
  • Assist with basic accounting and finance tasks, including expense reporting
  • Communicate with internal and external stakeholders on behalf of senior management
  • Other duties as assigned

Job Requirements and Qualifications

  • Bachelor’s degree and a minimum of 5-7 years’ experience supporting C-suite executives, preferably in an agriculture or related industry
  • Flexibility to adapt to changing priorities and work independently. Ensure delegated tasks are completed with minimal supervisor follow-up. Proactively communicate task and project updates to supervisor
  • Proficient in various programs and Famous database (desired), including MS Office Word, Excel, Outlook, and PowerPoint) applications and internet research skills is required
  • Excellent typing and writing skills a must (correct spelling, punctuation and grammar)
  • Excellent interpersonal and confident verbal and written communication skills
  • Bilingual (English/Spanish) fluency is highly desired
  • Discreet handling of all business matters (maintaining confidentiality at all levels is a must)
  • Ability to keep projects on schedule with the ability to coordinate workflow effectively, efficiently, and neatly
  • Ability to work well with all levels of internal management and staff as well as outside clients and vendors
  • Able to work well under pressure and meet various deadlines; ability to work independently with minimal supervision
  • Must be extremely well organized and able to multitask
  • Background in accounting or finance desired
  • Detail-oriented with strong problem-solving abilities
